Lyric Opera of Chicago exists to provide a broad, deep and relevant cultural service to the Chicago region and the nation, and to advance the development of the art form of opera. Lyric Unlimited, a division of Lyric Opera of Chicago, offers a multifaceted program of expanded community engagement and artistic initiatives that includes Lyric’s longstanding education programs. The Backstage Tours Coordinator provides on-site logistical and administrative support for all Backstage Tours programs.
Duties and Responsibilities
• Provides logistical support for all Backstage Tours programs, as delegated by Learning Programs Associate
• Processes student tour order forms, bus scholarship requests, schedules tours, and confirms reservations with school contacts
• Responds to inquiries and organizes group tours, checks facility availability for tours and responds accordingly
• Sends invoices, receipts, and collects payment for student and group tours
• With Learning Programs Associate, monitors public tour ticket sales and addresses capacity issues as needed
• Assigns and distributes tour guide schedules
• Sets up and breaks down tour route, informs guides of pertinent information for the day, greets tour groups/schools, introduces tour guides to each group, and troubleshoots when unforeseen changes or obstacles arise
• Participates in tour guide training workshops and mentor meetings
• Distributes backstage tour surveys and records survey results
• Reports and records tour guide observation/evaluation data
KNOWLEDGE AND SKILLS:
• Bachelor’s Degree from an accredited college or university, or equivalent experience
• Background in music or theater desired
• One to three years of administrative experience
• Must be culturally aware/sensitive, customer-focused, energetic, enthusiastic, well-planned, and organized
• Comfortable addressing groups of people
• Strong oral/written communications skills
• Working knowledge of and comfort working with:
o Microsoft suite of products
o CRM expertise (Tessitura a strong plus)
• Ability to think quickly and problem solve
• Previous experience in customer/patron service desired
• Experience working with volunteers desired
• Knowledge and understanding of school culture and working with teachers and students desired
WORK CONDITIONS:
• Ability to occasionally work weekends
• Standing and walking for prolonged periods of time
• Walking multiple flights of stairs each day
• Ability to operate a computer keyboard, mouse, and other office equipment
