Position Overview: The Executive Assistant is an important administrative position in the museum, one that interacts daily with a wide breadth of constituents and works closely with the ICA’s senior management staff to prioritize museum initiatives with and for the Director. He/she will manage all aspects of the Director’s Office including maintaining a full and complicated meeting and event schedule and serving as a strategic, proactive and self-directed liaison to the Director, providing information, solving problems and acting as a contact for internal and external constituents both from the museum world and from Boston’s non-profit and for-profit leadership base. He/she will manage correspondence; communicate with Trustees, Overseers, donors, community leaders and staff. Coordinate travel arrangements for Director and organize cultivation and donor events with appropriate staff. Serve as liaison to Board of Trustees; plan and execute the Annual Board of Trustees Meeting as well as quarterly Board Meetings and committee meetings. Organize Trustee orientations, maintain donor files, and keep and distribute meeting minutes. He/she will manage budget process for department.
Qualifications: BA with studies in art and/or business, or equivalent experience. 5+ years of related work experience. Previous experience as an Executive Assistant strongly preferred.
Excellent professional writing and editing skills. Ability to organize and prioritize a complex agenda.Ability to work under pressure of tight deadlines. Ability to anticipate, prioritize and resolve issues quickly. Participatory and adaptive work style; ability to receive feedback. Excellent interpersonal skills and sense of discretion; ability to collaborate and interact well with a diverse range of people. Ability to operate office equipment and general mobility throughout the building required. Full-time schedule is 40 hours per week on-site, occasional nights and weekends as required.
