POSITION TITLE: Volunteer and Development Coordinator
REPORTS TO: Special Events and Volunteer Manager
STATUS: Full Time, Competitive Benefits Package
SALARY: DOE

POSITION SUMMARY:
The Frye Art Museum is seeking a positive, flexible team player to join the Development Department. This position is responsible for assisting with all aspects in the department including the volunteers, data entry, ticketing and events programs at the Frye Art Museum. The position provides administrative assistance in all fundraising endeavors for membership, annual appeals, and all internal and external events.

PRINCIPLE RESPONSIBILITIES:
Volunteers:

Assists in executing a museum-wide plan to engage volunteers in ways that further the Museum’s work and value volunteers’ contributions.
Manages the day-to-day operations of the volunteer program, including: processes volunteer applications, interviews potential volunteers, schedules volunteers for shifts, fills in at the Concierge Desk as needed.
Provides support to all volunteers, coordinates scheduling, communication with volunteers, job descriptions for all volunteer activities and a comprehensive volunteer manual.
Assists with training volunteers and placement opportunities in their respective functions and emergency procedures and ensures they receive a thorough orientation to the Museum.
Assists with volunteer recognition and coordinating the Museum’s annual volunteer appreciation event.
Development:

Primarily responsible for the data entry of donations, memberships, in-kind gifts, and ensuring all event registration and ticketing match up with Altru constituent records.
Assists with the processing of gifts, creating thank you letters (during high volume times), generating queries, and pulling lists and reports.
Responsible for tracking the RSVP’s for donor/member events as well as managing the VIP & artists lists and acting as the first point of contact for queries about the events.
Ticketing & Events:

Provides assistance for all internal (donor/member & partner) and external (facility rental) events, as directed.
Secures and oversees volunteer support for all special events and manage ticket sales for special events.
Provides support/onsite lead for managing events (including daytime, evening, and weekend/holiday hours).
Provides limited support to Facilities Department for the set-up and tear down of all events.
Serves as the primary ticketing & Box Office lead, supervising the ticketing process online and onsite for lectures, conferences, member and public receptions, with or without Volunteer assistance.
Works with Communications Department staff to build events on e-commerce pages and web based generated responses.
Performs other duties as assigned.

QUALIFICATIONS/SKILLS:
A minimum of two years experience in a nonprofit or arts organization setting or equivalent experience.
Experience with recruiting and managing volunteers.
Experience with planning and implementing events. Specific experience in event logistics such as permitting, parking, vendor sales, ticket sales preferred.
Flexible schedule required for evening and weekend event management.
Ability to communicate effectively, both in writing and verbally, with people at all levels of an organization.
Ability to provide excellent customer service in all interactions with Museum visitors and members.
Candidates should have strong interpersonal skills and be competent with troubleshooting in a fast paced and diverse environment.
Strong organizational, project management, and customer service skills are required.
Exceptional attention to detail and strong work ethic.
Adhere to Museum policies and support management decisions and goals in a positive and professional manner.
Moderate to heavy lifting up to 50 lbs and occasional exposure to various weather conditions.
